Here’s a list of the top 10 mistakes all newbie planner users make. #1. You jumped into writing all over your Planner, without a plan.
Sounds redundant doesn’t it? But, lots of planners have empty space for keeping track of pretty much anything you can think of.
Before you go all in on your planner, grab a few post-it notes & write what you’re going to track/plan, then stick them on the pages you are thinking of using.
You’ll probably see that you have either lots of space, or not nearly enough, in which case you can still return the planner (or order refill pages)!

#2. You are using permanent ink.
I can’t tell you how many times I’ve done this. The truth is, things change, plans change, and all that. Cross-outs and writing in the margins to fix mistakes or changes, makes your planner look awful.
Invest in some quality erasable pens. I actually love these Frixion pens, and they’re not expensive! I also give them as teacher gifts all the time.
No matter what, always test a little spot way in the back of the planner if you are going to use a new pen or highlighter. Check out what I did to my beautiful Erin Condren planner this year….I grabbed a yellow permanent marker and it bled right through the thick pages…..

If your days change like crazy all the time and things constantly get rescheduled, try using some small post-it stickies instead of writing directly into the planner. Now you can peel & stick and move things around, if you have to.
I just ordered this sheet of 280 stickie notes that clip right into my Erin Condren planner, they’re really beautiful and the sizes fit in my horizontal weekly layout – they probably also fit into the vertical layout too:

#3. You aren’t giving Your Planner Organization a real try.
I’ve been guilty of this one – I buy a brand new, sparkly, amazing, multi-section planner and wait for it to change my entire life! Then, I “sometimes” put events into the monthly section, I use the weekly section for a few days, scribble on the dotted grid pages, and I’m not any more productive than when I shelled out the $30 or $40.
You are making an investment here, for something that is going to help you be more productive and organized. Don’t do your planner half-way, and expect to see all-the-way productivity results.
Some quality planners even come with instructions on fun ways to organize your planner! You’re not paying upwards of $35 for nothing.
Like any new system, if you don’t take the time to learn it, and if you don’t respect it, it won’t work for you.
Here’s the bare-minimum of what to put into your planner (with an erasable pen please!!):
- Monthly section: Date & time specific items, like anniversaries, birthdays, events, parties, meetings, etc.
- Weekly section: You can get creative here, but I would suggest that to start, put in the tasks you want to accomplish for each day.

- Notes Pages: At least one Habit Tracker. I don’t care what habit it is. We are talking “bare minimum” here, and this is for getting your feet wet. This will force you to open your planner every day. Your goal is to consistently use the planner, to give it a real shot at working with you. I promise, once you start with a habit tracker, you’ll never look back!

#4. You’re organizing your Planner based on what you want your day to look like, not what it actually looks like.
We all wish we could get “everything” done “every” day. That’s just not realistic.
It’s totally okay to start by envisioning your “Ideal Week.” What do I wish my week looked like? Sketch it out on a separate piece of paper. You can even make a copy of one of the weekly pages in your planner, and map out your IDEAL day.
Next, it’s important to know your actual week. What does my week actually look like? Do a quick time audit:
- What times of day do I usually do each thing I need to do?
- How long does each task take me?
- What things do I tend to do daily, weekly, and monthly?
I’ve found that the absolute BEST way to do a time audit is to keep a sheet of paper and a pen near you for one day. From start to finish, every time you do ANYTHING, hit the stopwatch on your phone & time yourself. That includes:
- Breaks from working
- Showering
- Starting a load of laundry
- Preparing and eating lunch
- TV or social media scrolling
- Errands INCLUDING travel time, etc.
Now, you have an honest accounting of how long it really takes you to do your daily stuff.
You can schedule your days within the parameters of your “Ideal Week,” using accurate time frames, so you don’t overload yourself. You’ll have your own personal planner organization “template” to work off of.

#5. You aren’t including buffers in your daily schedule.
If all of the time in your day is fully scheduled from start to finish, that means you aren’t accounting for “surprises” that are bound to come up.
It’s usually something like,
- an extra phone call or chat with your boss you weren’t expecting,
- your dad “popping in” to say hi,
- needing to stop for gas, or
- your online shopping taking 30 minutes longer than you planned because of your slow AF internet connection.
Any way you slice it, you’ll have less time to do the next thing on your list. Or, possibly not enough time to get to the last thing. If you give yourself at least a 15- to 30-minute buffer in your day, you’ll either use it, or have a built-in breather for yourself.

#6. You aren’t customizing your Planner.
I’ll admit I’m not the artsy-type who likes to color and doodle random Insta-ready pictures on my planner. If you are, go for it!
What I mean by customizing is, using the spaces in out-of-the-box ways. For example, I have this planner hack to add a habit tracker, when a planner’s weekly spread isn’t working for me.
I also thought the “Contacts” section in my Erin Condren planner was way too small, so I changed it to keep a running list of “date night ideas” to try!

Another idea is to use washi tape. It’s not just for decorating, you can use it to make color-coded tabs, if you have un-tabbed planner sections you need to flip to (like your HABIT TRACKER!).

#7. You don’t have a designated “Planner” time.
It could be once a week, or once a day. But, you have to allow your planner to keep up with your life! I personally fill in my planner like this:
- Each Friday before the new week starts, since I know what I didn’t get done this week, I fill in my tasks for each day.
- Then, each morning I review the tasks for that day. I try not to look at the rest of the week, I think I do that as a distraction, as weirdly specific as that sounds.
- Lastly, each evening I check off my Habit Trackers, where necessary.

#8. You feel like you have to fill all the blank spaces.
Hi, minimalism, how are ya?
You do not have to fill in every part of your planner right out of the gate! Chances are, after living with it for a few weeks, you’ll want to tweak your planner method in some way, and you’ll be happy you left some room to grow.
Year after year, I think I have my method down pat, only to realize that my life obviously changed in some way over the prior year. My change is usually that I learned some new life hack that changes the time of day I do something, if I even do it at all anymore, and I don’t account for that right away.
White space can also be soothing, in its own way. Let’s let it be for a little while.

#9. You aren’t color-coding.
“Planner Organization” 101. You probably wear several hats, as do we all. You’re probably in charge of keeping track of:
- House stuff
- Job stuff
- Side-hustle stuff
- Kids stuff, etc.
Color-coding is the easiest way to:
- See at a glance what the different parts of your life, or household, are up to, and
- Bunch like-things together if you can.
You can color-code with different colored pens, or you can use highlighters or crayons to mark each item.
Here’s my post with step-by-step instructions for how to color code your to-do list in your planner!
I use different colored pens, only because mine are erasable and when I have to change something, there isn’t a big wrong color on my planer, staring me in the face.
But, if you have chunks of time in your day that aren’t going to change, like “work time,” or “kids at home time,” boxing off those chunks with a nice highlighter color makes it very easy to see. Then, you can use the erasable pens for the tasks inside of those boxes, that might change day-to-day.

#10. You are sticking with your Planner for too long.
You’ve tried it, and it’s not working. You don’t even like looking at it anymore. It’s time to move on! Don’t worry about it! There are several times a year when planners go on sale or clearance.
